7. Quick start

What should be done first?

Ensure all invoices are payable to you!

Click on the "About me" button on the "JobVision start" form. Enter your company name and personal details accurately. This information is printed on the top of every invoice and determines who receives payment. When you are satisfied it is correct, click on the "Details are correct" button. There are many aspects of JobVision that can be customised.

Customisation allows the user to work more effectively. For example. JobVision users can state the rate of VAT. If and when this rate changes, the user can make corresponding adjustments without difficulty. Custom options are accessible from the options/settings form which is accessible from the ‘Main switchboard’ form. Access the options/settings form by clicking once on the button ‘options/settings on the ‘Main switchboard’ form. The form that is displayed is composed of many pages the first of which is called ‘Startup’.

What can the user customise?

Start up

The user can customise the way JobVision starts up. For example, from the first tab of the options/settings form, by putting a tick in the tick box that asks “View job list when application starts” the user can indicate that job information should be displayed first. Henceforth whenever the user runs JobVision he/she will be prompted for the type of job information that must be displayed.

Clients records may be sorted according to their company name or the name of the contact at the company. You can specify which ordering you wish to apply to the client records and this will remain until it is changed. For example, open the options/settings form by clicking on the options/settings label on the main launchpad then click on the Clients tab. This will provide you with the choice of sorting by company name or the contacts last name. Once you have made your choice click close to apply this sort to the client data whenever the client form is displayed.

VAT

The accounting system may be customised. For example the rate of VAT may be changed. Change this by clicking on the VAT field and entering a new value. Subsequently all jobs and actions will be subject to the new rate of VAT.

Hourly rate

The user may change the hourly rate. This is the cost featured in the actions form. Any new action for the current job will use this new hourly rate whilst previous values will remain unchanged. Change this rate by clicking inside the “Hourly rate” text box and changing the value.

Reporting currency.

The user has the choice of using either Sterling or Euros or both in JobVision. The reporting currency is the currency that JobVision uses by default in all new jobs, actions and transactions. Typically Sterling will be the reporting currency. Therefore any new jobs will be priced in Sterling unless the user overrides this currency.

Conversion rate

The user may change the conversion rates between the currencies. This indicates the relative values of euros and sterling at some point in time. Each job has the potential to have a different exchange rate. The rate is changed by altering the number in the text box between the text “one pound =” and “euros” on the “Finance” tab of the “options/settings” form. Alternatively the exchange rate can be overwritten on the "Job Information" form.

Invoice letter content.

Before an invoice is sent to a customer, you may wish to change the wording to something more appropriate. To view the current wording for invoices press the “Edit” button to the right of the text "Invoice letter content". This will allow you to both view the current invoice text and edit it. Once editing is complete click on “close” button.

Statement letter content

Unfortunately some customers take a long time to pay for their work and need to be prompted with a statement. This is a reminder that the original invoice has not been paid and is due. Change your choice of wording for the statement by clicking on the Edit button to the right of the text “Statement letter content”. Once this has been edited to your satisfaction, click the “close” button. Now whenever an invoice or a statement is made it will use your wording.
